Clerk Career Description

Clerks do routine office work in order to assist in the activities of the management and professional personnel.

What am I going to do in this occupation?

Clerks do a variety of tasks which are necessary to ensure that businesses and organisations operate smoothly. These office workers are involved with tasks such as typing, writing accounts, keeping files in order, handling of various machines, giving advice, as well as preparing and analyzing financial reports. In order to keep documents accurate, clerical workers must pay precise attention to detail. The clerk must also have the ability to communicate with colleagues.

Some clerical tasks are unique to specific organisations, but clerks usually have, irrespective of where they work, one or more of the following tasks:

» Administrative stores clerks are involved with the purchase and control of an organisation's stock. Stationery such as pens, pencils, erasers and rulers are purchased and distributed to personnel. Office accommodation, communication facilities and other services, which are necessary for any organisation, are taken care of by stores clerks. It can also be expected of them to obtain tenders and to draw up contracts.

» It is registration clerks' responsibility to open up, write down and distribute all incoming mail. They handle correspondence on various matters as well as the distribution of certificates and notices. Reports and instructions are kept on date and documents, notices and other paperwork are checked to ensure that they are complete and correct. Arithmetical calculations, which are relatively simple sometimes have to be done and statistics must be kept up to date. Secretarial duties, such as taking down minutes, are sometimes required.

» Personnel clerks fulfil certain functions in assistance to the personnel officer. They keep personnel registers, reports, . regulations and manuals on date. Documents such as applications for posts and receipts are checked. Messages are taken and sent through and the enquiries of visitors are answered or referred.

» Each organisation, business or government department has a financial department where one or more accounting clerks work. These clerks are responsible for entries in cash-books, journals, ledgers and item registers.

Requirements

What kind of personality do I need? Clerks must have good insight, have good language skills and be able to do calculations. Prospective clerks must be able to work neatly and accurately. They must be persons who can work easily with others in a team and must not get bored with routine work. This occupation is also suitable for persons with an auditory, visual and physical disability.

Where can I work?

All organisations and companies do administrative work and thus have to employ clerks.
